Know exactly who your warmest followers are
Everyone who comments, replies to a story or DMs you becomes a contact — with where they came from, what they did and what you’ve tagged them with. Then put that knowledge to work in every message.

Tags, labels and fields, organised your way
Tags
Added in the inbox, on a profile, in bulk or by a flow — managed in one list, and able to start a tag rule.
Labels
A short list of colour-coded labels your team shares across the inbox and contacts.
Custom fields
Contact fields and account-wide bot fields — set by hand, on import or by a flow — that you can drop into any message.
Segments
Saved lists built from rules that update as your contacts do — and the audience for broadcasts and inbox routing.
Bulk actions
Tag, untag, subscribe, unsubscribe or delete a selection or a whole segment in one go.
Import & export
Bring in up to 2,000 contacts at a time, and export the list you’re looking at as a CSV.
Contact panel
Profile, Instagram link, labels, tags, fields and activity beside every inbox conversation.
API & webhooks
Read, tag and message contacts from your tools; contact.created and contact.tagged tell your tools what changed.
Growth tools
Ref links, QR codes, a link-in-bio page and a button for your website that start a DM — and tag everyone who arrives.
Broadcasts
Send one message to a segment or everyone — reaching the people Instagram lets you message right now.
Record a sale
Log a purchase, booking or sign-up on a contact’s profile, with its value.
Merge duplicates
Two contacts for one person? Merge them from the profile — conversation, tags, fields and history move onto the one you keep.
One tidy list of tags
See every tag your account uses and how many contacts carry it. Rename a tag and it’s rewritten everywhere it’s used — on contacts, in segments, routing rules and automations — so nothing stops matching. Merge duplicates, give tags colours, and delete the ones you’re done with.
- Renames and merges follow every contact, segment, routing rule and automation
- Merge “giveaway-2025” into “giveaway” in one step
- See what a change will touch before you confirm it
- Tags already on contacts can be added to the list in one click
- Tag someone from the inbox panel — and a tag rule can start an automation the moment it lands
- vip312 contacts
- lead1,048 contacts
- giveaway877 contacts
- wholesale46 contacts
Put what you know into every message
Store the details that matter — an order number, a city, a discount code — and use them in messages and button labels with the Personalize menu. Fill them in on a contact’s profile, map them during a CSV import, or set them from a flow.
- Contact fields for each person, bot fields for values your whole account shares
- Used in messages as {{order_number}}, with a fallback for anyone missing a value
- A flow’s action step can set up to 5 fields at once
- Filter segments and route conversations by field values
No name on file? {{first_name|there}} falls back to “there”.
Turn a QR code into a conversation
Growth tools give people a one-tap way to start a DM: a ref link for your stories and emails, a QR code for packaging and shop windows, a hosted link-in-bio page, and a button for your own website. Everyone who arrives becomes a contact, can be tagged on the way in, and can start a flow built for exactly that tool.
- Clicks count people who opened the link or scanned the code; opt-ins count the ones who then sent a DM
- Tag arrivals automatically, so you can segment and route them later
- Start a flow with the “Arrived from a growth tool” trigger — for one tool or any
- The link-in-bio page carries no third-party trackers, embeds or fonts
- The website button is plain HTML — no script, no cookies, nothing sent until someone clicks
- Links go live once a real Instagram account is connected

Bring your list in. Take it out any time.
Upload the followers and customers you already know about, and export whatever the contacts list is showing — the same segment, filter or search — whenever you need it somewhere else.
- Import up to 2,000 rows at a time; name, tags, custom fields and subscribed (yes/no, true/false or 1/0) map across
- When an imported person first messages you, they’re matched to their imported contact automatically — as long as the username is unique
- Imported people can’t be messaged until they write to you — Instagram only allows replies
- Exports include custom fields as columns and are safe to open in a spreadsheet; owners and admins can export
| username | name | tags | subscribed | city |
| maya.jewels | Maya | vip;wholesale | yes | Austin |
| dan.builds | Dan | lead | yes | |
| lena.moves | Lena | giveaway | no | Leeds |
| '=HYPERLINK(…) | yes |
Custom fields become columns. A name that starts with “=” is exported as text, so a spreadsheet can’t run it as a formula.
Slice your audience any way you like
Combine rules to find exactly the right people — everyone who ran your giveaway but isn’t a VIP yet, or everyone from comments who’s gone quiet for 30 days. Send a broadcast to a segment, and use the same conditions in inbox routing rules.
- Tag — has / doesn’t have
- Label — has / doesn’t have
- Subscribed — yes / no
- Name or username — contains / doesn’t contain
- Source — comment, DM, story, import or manual
- Last interaction — more than / within N days
- Automation — ran / didn’t run for them
- Custom field — equals / doesn’t equal / contains
Your contacts, in your own tools
Create an API key in Settings and connect MuChat to the rest of your stack: list contacts (filtered by tag), add or remove tags, send a DM and record conversions. Webhooks go the other way — MuChat tells your tools the moment a new contact arrives.
- Keys with scopes you can revoke at any time
- Signed contact.created and contact.tagged webhooks for Zapier, Make or your own server
- Sends respect Instagram’s 24-hour window, just like the inbox
- GET/api/v1/contacts?tag=vipList contacts, filtered by tag
- POST/api/v1/contacts/:id/tagsAdd or remove tags
- POST/api/v1/contacts/:id/sendSend a DM inside the 24-hour window
POST /api/v1/contacts/:id/tags
{ "tags": ["vip"], "mode": "add" }Keep every contact. Only the recent ones count.
Plans include from 100 active contacts on Free up to 25,000 on Advanced — people who’ve been in touch in the last 30 days. Quiet contacts stay on your list and stop counting on their own. Over the limit, new people who message you still come through. On paid plans each extra active contact is billed for the month at the plan’s rate; on Free, imports and manual adds pause.
Contacts questions
Who becomes a contact?
Anyone who comments on your posts, replies to your stories, DMs you or arrives through one of your growth tools while your Instagram account is connected — plus anyone you import or add by hand.
Do all my contacts count toward my plan?
No — only active ones: people who’ve been in touch in the last 30 days, plus anyone you import or add by hand for their first 30 days. Everyone else stays on your list without counting.
Can I record a sale against a contact?
Yes. Use Record a conversion on the contact’s profile — pick the event (a purchase, a booking…) and its value. It’s credited to the last automation run or sequence that touched them in the 7 days before, and shows up in Insights.
What happens to my automations if I rename a tag?
Nothing breaks. Renaming or merging rewrites the tag everywhere it’s used — on contacts, in segments, routing rules and automations — and MuChat shows you what it will change before you confirm. Deleting a tag removes it from all of those too, so rules that filtered on it stop filtering.
Can I use contact details in messages?
Yes. Insert the first name, @username, any custom field or a bot field with the Personalize menu, and set a fallback for anyone missing that detail. If a contact and your account both have a value for the same field, the contact’s own value wins.
Can I message a whole segment?
Yes, with a broadcast: pick a segment (or everyone) and send one message once. Instagram only lets businesses message someone within 24 hours of their last message, so a broadcast reaches your recent conversations rather than your whole list — MuChat shows how many are reachable before you send, and skips the rest.
Can I import contacts I already have?
Yes. Upload a CSV with an Instagram username column, up to 2,000 rows at a time. Name, tags and custom fields can be mapped too, and usernames you already have are skipped. Imported contacts count as active from the day they land. On a paid plan with extra contacts on, an import can go past your allowance and the extras are billed for the month; on Free, during a trial or with extra contacts off, the whole file has to fit in the allowance you have left. You can’t message them until they write to you; when they do, they’re matched to their imported contact if the username is unique.
Can I export my contacts?
Yes, if you’re an owner or admin. Export downloads the contacts the list is showing — the same segment, filter or search — as a CSV with custom fields as columns. Re-importing that file keeps unsubscribed people unsubscribed.
What if someone ends up as two contacts?
Owners and admins can merge them from the contact’s profile. Everything — conversation, tags, fields, runs and sales — moves onto the contact you keep, in one step.
What does “subscribed” mean?
A yes/no flag on every contact that you control — by hand, in bulk, or from a flow’s action step. Unsubscribing someone ends any sequence they’re on and any flow step waiting to send, and broadcasts, bulk runs, tag rules and API starts skip them. A new comment or DM keyword can still trigger an automation for them — add a “subscribed” condition to the flow if you want those skipped too.
Pay for the people talking to you
Plans count active contacts — people in touch in the last 30 days — not your whole list. Past the allowance, paid plans keep working and each extra active contact is billed for the month; Free stops adding contacts at its limit instead.
